Roles and Responsibilities
General Office Administration
Coordinating for smoother implementation of manpower planning, induction, job rotation.
Looking over the activities pertaining to attendance, shift schedules, overtime, leaves etc.
Preparing yearly Budget for HR Department, Monitoring & Managing all type of indirect expenses Handled Petty Cash e for miscellaneous expenses i.e. food expense during the training programme & meeting, Regd AD, fuel for company vehicle etc
Effectively lead the Administration function in the plant. Align the business objectives with the Administration requirements in Plant . Plan, Budget & Achieve the Quality & Cost Objectives of the Organization. Prepare SOP for all admin functions.
Ensuring highest amount of hospitality while dealing with our VIP guests.
Managing the visitors and Guest with utmost fragility and ensure they have a wow factor when they enter and exit the premises of our company group in terms of visuals and entire upkeep of the entire estate.
Serving as a leader in displaying outstanding hospitality skills.
Provides immediate assistance to guests as requested.
Getting into detailed oriented understanding of guest needs including pick-ups, drop & driver management .
Checking the dress code of entire organization.
Responsible for managing the housekeeping function of plant .
Checks the manpower status of security & housekeeping - first thing in the morning.
In case of shortages, liases with the security & housekeeping supervisors to get people.
Ensuring consistently highest standards of aesthetics, hygiene and cleanliness.
Implementation and monitoring of schedules, Duty Roster, Work Plan etc.
Security & Transport Management:
Maintain Vehicle directory & logbook records, initiate new vehicle purchase whenever required at site / offices, Insurance of all the vehicles. Maintenance of Security staff at all locations, Responsible for security of all the data & documents stored at store room, Safety & Security precautions for office premises & staff.
Booking for Bus/Train/Air tickets, Hotel for employees. Checking and verifying of Travel Expenses as well as local conveyance of Employees. Visa, Passport processing for CMD.
Prepare & implement administrative policies & processes, Monitor Administration activities, Sign the payment requisitions related to all expenses , Travel, conveyance, Keep the MIS updated on regular basis (Office expenses, Local conveyance, Travel expenses etc), Review the MIS & submit to the management, Compilation and Maintenance of the administrative expenses, travel reports, expense statements, etc.)
